Managing tasks

Tasks & Workflows

Tasks are JOATOS's unified work list — a single place for to-dos, whether you create them yourself or they're raised automatically by monitoring.

The tasks list

Select Tasks in the sidebar. Each row shows the task, its priority, status, assignee, and due date, plus a badge for where it came from.

  • Statuses: Open, In progress, Done, Dismissed.
  • Priorities: Low, Normal, High, Urgent.

Narrow the list with scope pills (Mine, Assigned to me, my section/department, my roles, my groups, Unassigned, All) and filters for status, priority, and source. Save a filter set as a named view for quick reuse.

Where tasks come from

Tasks have a source:

  • Manual — created with New task.
  • Alert — raised by a task notification profile, and auto-closed when the alert clears.
  • SSL expiry / Domain expiry — raised ahead of a certificate or domain expiring, and closed on renewal.
  • Recurring — generated from a schedule you define (Recurring on the Tasks page).
  • Ticket — created from a helpdesk ticket.
  • Workflow — created by a workflow step.

Creating and assigning

Select New task and set a title, description, priority, due date, and assignee. Tasks can be assigned to a user, group, department or section, or job role — so work can go to a whole team or role, not just an individual.

Working a task

Open a task to edit its details, add sub-tasks, and record notes alongside a system activity timeline. The sidebar holds its status, priority, assignee, and due date. Change the status as you go — Start it, mark it Done, or Dismiss it.

Notes & tips

  • Use saved views for the lists you check often (e.g. My open urgent tasks).
  • Tasks raised from monitoring close themselves when the underlying issue clears — no manual tidy-up.
