Asset lifecycle and history

Asset Register

An asset's detail page tracks it through its whole life — warranty, contracts, licenses, and a timeline of events. This article covers those tabs.

Recording lifecycle events

On the History tab, select Add Event to log something that happened to the asset:

  • Event type — Received, Deployed, Moved, Maintained, Repaired, Loaned out, Returned, Decommissioned, Disposed, Stolen/Lost, or Note.
  • Date, Performed by, and Notes.

Events appear newest-first as a timeline. A Received event is added automatically when an asset is created.

Warranty

On the Warranty tab, record the warranty type (on-site, return-to-depot, phone, advance replacement, parts-only, other), provider and contact, a reference number, and start/end dates.

JOATOS highlights warranty status: a red banner once it's expired, and a yellow one when it's within 30 days. The register's Warranty column shows days remaining at a glance.

Contracts and licenses

  • The Contracts tab lists maintenance contracts covering this asset (read-only here — add the asset from the contract side; see Creating a maintenance contract).
  • The Licenses tab lists linked licenses, and you can add a license to the asset directly from here.

Linked device or server

If the asset represents something JOATOS monitors, the Overview tab shows a read-only card for the linked device or server (name, IP, status, last seen). Linking is managed from the device/server side — see Linking a device to an asset.

Attachments

Contracts and licenses support attachments (e.g. proof-of-purchase or warranty documents) — upload them on the relevant detail page.

Notes & tips

  • Log a Maintained or Repaired event each time you service an asset — the timeline becomes its full service history.
  • Keep warranty end dates accurate so the 30-day banner and register warnings are meaningful.
