Creating a maintenance contract
A maintenance contract records a support agreement and what it covers, so renewals and coverage are never a surprise.
Creating a contract
- Select Contracts (under Assets) in the sidebar to open Maintenance Contracts.
- Select New contract.
- Complete the form:
| Field | Required | Notes |
|---|---|---|
| Contract name | Yes | e.g. Core switch 4-hour support |
| Provider | Yes | Who provides the cover |
| Contract number | No | The provider's reference |
| Type | No | Full, Parts only, Labour only, Remote only, or Other |
| Provider contact | No | Phone or email |
| Start / End / Renewal dates | No | The contract term and when it renews |
| Annual cost | No | Yearly cost |
| Notes | No |
- Select Create contract.
Linking assets and software
Coverage is managed from the contract side. On the contract's detail page:
- Covered assets — select Link asset, then search by make, model, or tag (already-linked assets are hidden). Remove one with its ✕.
- Covered software — select Link software and search by name or vendor.
A contract can cover many assets and software titles at once.
Attachments
Upload the signed contract, quote, or letter as an attachment on the detail page (images, PDF, or documents) so the proof lives with the record.
Staying ahead of renewals
The contracts list warns when any contract's end date is within 90 days, and each contract shows its end and renewal dates plus a days left badge. Use this to plan renewals before cover lapses.
Notes & tips
- Link a contract from the contract side — an asset's Contracts tab is read-only.
- Record the renewal date separately from the end date when they differ, so you act at the right time.
